Important notice

This Privacy Policy describes how Kitebots (“we,” “us”) processes information. It is provided for informational purposes; you should have a licensed attorney review it for your jurisdiction. By using the Service, you acknowledge this Policy.

1. Data collection scope

We process two broad categories of data:

Client (account) data: Information you provide as the account owner or administrator—such as name, email, billing details, and configuration—used to operate your subscription and the Service.

End-user conversation data: Chat messages, inputs, and related metadata (for example IP address or device signals where collected) from visitors who interact with chatbots you deploy. For such data, you are typically the data controller for your end-users’ personal data, and Kitebots processes that data on your instructions as a processor, unless otherwise required by law.

2. AI model training and third-party sub-processors

No foundation model training: Kitebots does not use your account data, Knowledge Base uploads, or end-user conversation content to train, improve, or fine-tune foundational large language models operated by us. We do not sell that content for model training. Processing through third-party LLM APIs is performed to fulfill each request (for example generating a reply to a user message) and is subject to those providers’ terms and safeguards applicable to API usage.

Sub-processors: We use industry-standard cloud infrastructure and service providers (including Amazon Web Services (AWS) for hosting and related services) to run the platform. A current list of sub-processors material to processing may be available on request by contacting our privacy contact below.

3. Data retention and vector database deletion

Chat and diagnostic logs: End-user conversation data and related operational logs may be retained for up to 90 days (or as configured for your plan) to support analytics, troubleshooting, and service improvement, after which they are deleted or anonymized according to our retention schedules.

Knowledge Base purging: When you delete a document, URL, or text segment from your Kitebots dashboard, we remove the associated content from active use and delete corresponding vector embeddings and indexes tied to that content from our production systems in ordinary course, so they are no longer used to answer queries. Backups may persist for a limited period consistent with our backup rotation before expiry.

4. Security measures

Data in transit between end-users, the Kitebots widget or apps, and our services is protected using TLS 1.2 or higher where applicable. Data at rest is protected using industry-standard encryption (for example AES-256) within our cloud environments. No method of transmission or storage is 100% secure; we continuously work to maintain appropriate safeguards.

5. Cookies and similar technologies

We use cookies and similar technologies as needed for authentication, preferences, security, and analytics. You may control cookies through your browser settings where supported.

6. Third-party services

We integrate payment, analytics, and other vendors as described at signup or in-product. Those vendors have their own privacy notices governing their collection and use of information.

7. Your rights

Depending on your location, you may have rights to access, correct, delete, or export personal data, or to object to certain processing. To exercise rights related to your account data, contact us at the email below. Requests regarding data collected by your deployed chatbots may need to be directed to you as the controller; we will assist where we are legally required to do so.

8. International transfers

If you access the Service from outside the country where our servers are located, your information may be transferred to and processed in countries that may have different data protection laws. We implement appropriate safeguards as required by applicable law.

9. Changes to this Policy

We may update this Privacy Policy periodically. We will post the revised Policy and update the “Last updated” date. Material changes may be communicated by email or in-product notice where appropriate.
